Fee Policy
Fees
Annual Registration and Membership Fees
All swimmers must pay an annual Swim Ontario registration fee which covers Swim Canada's mandatory insurance for each of our swimmers for the swim year. Each swimmer must also pay a mandatory KSS annual membership fee which helps cover some of the administrative / office costs for the club. Swim Ontario and KSS membership fees must be paid in full at the time of the swimmer's initial registration. These fees will not be pro-rated for swimmers who join part way through the year.
Additional Costs
Additional fees will be required for swim meets if a swimmer is participating. Swimmers are responsible for swim meet fees, transportation, accommodation and living expenses. Coaches will provide information on expectations for costs which will be dependent on the number of coaches and swimmers attending etc.
Suspension Until Fees Are Paid
Swimmers will not be permitted to swim unless they are up to date with their fees or payment arrangements have been made. Fees are due prior to the beginning of each session.
Assistance with Swim Fees
Triple P.L.A.Y. is an organization in Kenora that offers financial assistance to children so they can participate in local organized sports. If your family requires financial assistance to allow your children to participate please contact the Triple P.L.A.Y. Coordinator through FIREFLY at 467-5437 or apply online here. We want all children with the desire to be able to swim with our club.
Insufficient Funds (NSF) Club Service Charge
Anytime a cheque is returned to the swim club due to not sufficient funds (NSF) we are charged by our Credit Union. Because of this there will be a $25.00 service charge on all NSF cheques.
Use of Excess Fundraising Credits (EFC)
The Excess Fundraising Credit (EFC) policy is strategically crafted to foster responsible fundraising practices while ensuring participants utilize their credits effectively within a designated time frame. Participants are required to earn and apply their EFC within one year from the date of earning. For example, credits obtained in January 2024 must be redeemed by January 2025; any unredeemed EFC after this period will be forfeited without the possibility of refunds.
EFC transfers between family members are permitted within the program, as both swimmers are active participants. Transfers from inactive to active swimmers, however, are strictly prohibited to preserve the integrity of the fundraising system.
Excess Fundraising Credits, or EFCs, are accrued by surpassing the mandatory fundraising requirements designated for each initiative or draw. The EFC calculation is based on the excess amount raised, valuing the credits at 25% of that surplus.
For instance, if a swimmer manages to sell 10 tickets valued at $100 beyond their minimum required amount, they earn $25 in EFCs. EFCs may offset up to 25% of session fees and 100% of swim meet fees, excluding Swim ON fees.
For example, should a swimmer incur a session fee of $500, they may use up to $125 in EFCs, thereby reducing the payable amount to $375. Families involved in draws or lotteries must meet a minimum ticket sales threshold based on the swimmer's group.
Those who exceed their required ticket sales in draws with 85% or more of all tickets sold will be rewarded with a portion of their excess ticket sales as EFC, which can be applied towards future session registrations and meet fees.
